M365 Backup FAQ
1Doesn't Microsoft already back up my data?
No. Microsoft provides geo-redundancy for their infrastructure (so their data centers don't fail), but they explicitly state in their service agreement that YOU are responsible for your data. Their recycle bin and retention policies are not backup-they're limited disaster recovery that expires after 30-93 days. True backup means immutable, long-term copies you control.
2How often do backups run?
Essential tier runs daily backups. Professional and Enterprise tiers run 3x daily (every 8 hours). For compliance or high-value data, we can configure more frequent backup schedules. Each backup is a full point-in-time snapshot.
3How long does recovery take?
Granular recovery (single email, file, or folder) takes under 5 minutes. Full mailbox recovery takes 15-30 minutes depending on size. Full tenant recovery from ransomware takes 2-4 hours. We provide recovery SLAs in Enterprise tier.
4Where is my backup data stored?
Your data is stored in geo-redundant, SOC 2 Type II certified data centers. You choose the region (US, EU, or APAC). Data is encrypted at rest (AES-256) and in transit (TLS 1.3). Enterprise customers can add air-gapped copies for ransomware protection.
5How do you handle Teams backup?
We backup Teams completely: channel conversations, private chats, files, tabs, team settings, and channel configurations. This is complex because Microsoft stores Teams data across Exchange, SharePoint, and Azure-we unify it all for seamless recovery.
6Can users restore their own data?
Yes. We provide a self-service restore portal where users can search and restore their own emails, files, and OneDrive content. Admins can control what users can restore and require approval for sensitive data.
7How does this help with compliance?
We support compliance requirements like SOC 2, HIPAA, SEC 17a-4, and GDPR. Features include immutable storage, legal hold, eDiscovery search, audit logs, and custom retention policies. Enterprise tier includes unlimited retention for organizations with 7+ year requirements.
8What happens to backup when an employee leaves?
You retain full access to their backup data. When you delete a user from M365, we preserve their backup according to your retention policy. This is crucial for legal holds, knowledge transfer, and compliance.
